Role Purpose

Reporting to the Facilities Manager, the Facilities Coordinator will oversee facilities management, supplier management, health & safety and stock control within a busy office environment whilst also catering for the needs of all staff working remotely. The successful candidate will have the opportunity to work and develop their skills in a fast paced and rewarding environment.

Accountabilities of the Role

Health and safety Management to include:

  • Emergency evacuations
  • Alarm testing (once a week out of hours)
  • Upkeep of evacuation procedures, safety statements and safety manuals
  • Conducting ergonomic assessments inhouse and online
  • Acting as company First aid team member
  • Acting as Fire Marshall


Managing the company mobile phone account:

  • Dealing with any queries that arise
  • Ordering new devices when necessary
  • Replacing sim cards
  • Dealing with billing and general enquiries
  • Adding and removing users from company account


Responsible for purchasing and stock control within the department:

  • Creating purchase orders and approving invoices for all areas within Facilities department
  • Ordering of print and stationery, first aid materials, office consumables and other needed inventory


Completion of all postal duties to include:

  • Opening, sorting, and delivering all morning post
  • Collecting and franking all outgoing post
  • Delivering swift/registered post to the post office each day
  • Delivering cheques and lodgements to the bank each day


Monitoring Facilities vendors and contractors to ensure all issues are completed to agreed specification and agreed deadlines:

  • Completion of all active maintenance in line with our maintenance schedule
  • Regular checking and reactive approach to ad hoc issues as they arise


Ad hoc Duties:

  • Accessing control system Management
  • Assisting with all green/biodiversity initiatives
  • Acting as backup key holder with flexible approach to working hours
  • Use of company car for deliveries and collections as necessary
  • Providing assistance with internal department moves
  • Completing meeting room/presentation set up requests
  • Coordinating facilities such as cleaners, security and maintenance


Skills & Knowledge Required

  • Work experience as a Facilities Coordinator or similar role desired but not essential
  • Full clean driving licence essential
  • Sound judgement and the ability to think quickly during emergencies
  • Strong problem solving and time management skills
  • First Aid training/ use of defibrillator desired
  • Safety pass / manual handling training / ergonomic assessment training desired but not essential 


Behavioural Competencies Required

  • Excellent IT Skills essential, particularly Microsoft Office
  • Basic DIY skills and advantageous
  • Flexible approach to working hours
  • Familiarity with audio-visual systems desired but not essential
  • Self-motivated individual with a can-do approach to problem solving
  • Knowledge of heating/ventilation and air condition systems advantageous
